[ff-all] Fwd: Allocation for 2020 now on line: time for the timesheets!

dear all,

finally, as a result of a joint work of all boo members, the allocation for
all of us for 2020 is on line and accessible to all at

by clicking the above link you shall have view rights over the spreadsheet
(let me know if this does not happen).

with this email i'd like to clarify some aspects on two main points:
allocation and timesheet.

*1. allocation*
main novelty with respect to previous years is the formal existence of
*"internal
projects" *as announced during several meetings (most recent one the
all-hands meeting).
internal projects allow concerned people to account for their own work for
the portion of their work indicated *as a maximum* if the specific
performed work cannot be accounted to any funded project.
the accounting to internal projects will be carefully verified at signature
time of your monthly timesheet by your responsible boo member with the aim
of checking if the specific time accounted cannot be instead accounted to
any funded project.

for some of you the total allocation in a specific month, i.e computing all
the allocations for the specific month, might not be exactly 100%. if that
is your case, please verify your monthly allocation with your boo member
responsible.

for some projects, particularly the last new ones, allocation is not yet
completed. again this could be verified, if needed, with your responsible
boo member.

anyhow, the allocation has to be considered as a guide, as in some months
you may have worked with different allocation percentages. what matters is
the total at the end of the year. of course data will be monitored and
eventually new allocations can be made. anyhow, please verify your
timesheet with your responsible boo member.

*2. timesheet*
due to the novelties introduced i created (here attached for your
convenience) a new version of the timesheet.

column code takes values from a predefined list. in that, long, list you
have:
- european commission funded projects (code starting with eu)
- eit digital funded projects (code starting with ei)
- german funded projects (code starting with de)
- internal projects (code starting with &)
- off days (code starting with $)

if you want to see what code your project corresponds to, check the
"support" sheet of the timesheet.

the timesheet is flexible enough allowing hours allocation. start time and
end time are pre-set to 9:00 and 17:45 respectively. the day total is
computed taking into account 45 min lunch break. normally you shall leave
as it is, but of course if you split your day in many slots you have to
check and compute the day total by your self ... ;-)
please note that in the account hours you cannot normally exceed 8 hour per
day, for sure not 40 hours per week (20 for working students). differences
shall be discussed with your responsible boo member.

please remember to write a short, sharp description of what is done in the
"description carried out in the month" text area. this is mandatory as it
is particularly useful to report activities done while compiling the
project progress reports.

travel expense (column 8) shall match the total exposed in the travel
request form (please refer to the email sent by andrea earlier this year).
the expense is just the total of the travel (not needed the split per day!)
and can be put either at the start day or end day of the travel itself.
eventually specific travel descriptions can be put in the "description
carried out in the month" text area. the rule here is that days of travel
must match the travel request form.

column 9 is the description NOT of column 8 (which is in the travel request
form or the description area!), but it describes any other expenses done
for the project different from those about business travelling.

bottom line, the timesheet is rather flexible, but of course i'm not here
to make your life uselessly complicated. so, if you wish, you can aggregate
single hours worked on a task in several days in a single day. for example
you have worked 1 hour per day on a certain task, then you can put 5 hours
on a specific day of that week, or if they have more even have a full
day for that task. as per the allocation point 1 above, what matters is the
total.
