[ff-all] Allocation for 2022 now on line: time for the timesheets!

dear all,

finally, as a result of a joint work of all boo members, the allocation for
all of us for 2022 is now on line and accessible to all at

by clicking the above link you shall have "view" rights over the
spreadsheet (let me know if this does not happen).
as usual this is an estimation expressed in percentage (in top left
the legend on how to translate the estimate in hours) of your allocation
for a specific project in a specific month.

with this email i'd like to clarify some aspects on two main overall
points: allocation and timesheet.

*1. allocation*
*1.1* in the allocation you may spot your name and related percentage to be
colored. there are three cases:
*1.1.1* the text is in *purple*. this means that for that specific month
and that specific project the hours shall absolutely reflect the
percentage. however you have not to worry as in this case your timesheet
has been already produced by you and has been already accounted to the
specific project and given to our financial auditor, so it cannot be
changed. of course there is no need to do so.
*1.1.2* the is in *blue*. this means that for that specific month and that
specific project the hours have been already accounted for and reported in
the project financial sheet. however, this was based on a mine estimate. as
such it cannot foresee if you were in that month ill or on vacation, so if
not possible to keep as it is (*first choice*) you might change it. in a
following project financial statement i can do some fine tuning
adjustments. however this option is not possible for german funded
projects!!! so keep the number unchanged.
*1.1.3* the color is black, well this is the normal case you shall use this
percentage as a good approximation of your work done in the month.

*1.2 *as in previous years we have *"internal projects"*.
internal projects allow concerned people to account for their own work for
the portion of their work indicated *as a maximum* if the specific
performed work cannot be accounted to any funded project.
the accounting to internal projects will be carefully verified at signature
time of your monthly timesheet by your responsible boo member with the aim
of checking if the specific time accounted cannot be instead accounted to
any funded project.

*1.3* for some of you the total allocation in a specific month, i.e
computing all the allocations for the specific month, might not be exactly
100%. if that is your case, please verify your monthly allocation with
your boo member responsible.

*1.4* anyhow, the allocation has to be considered as a guide, as in some
months you may have worked with different allocation percentages. what
matters is the total at the end of the year. of course data will be
monitored and eventually new allocations can be made. any case, please
verify your timesheet with your responsible boo member.

*2. timesheet*
to produce the timesheet i created a new version of the timesheet. the use
of such a new version is mandatory for all as there are new projects with
respect to previous year versions and some of the project code have been
changed.

to create your timesheet you have to go in your timesheet 2022 folder (all
of them already there and created by Andrea), press "new" and then "select
from template", there you have the new template version.

first step is to put your name and select the month and year. thee
timesheet automatically pre select for you weekend days and last day of the
month (many times i saw 31st april used ... ;-) ).

after you have to select the project you worked in the specific day/time
slot (see below). to select the project click on "???" and the full list of
projects by name appears. select the desired project and the code will be
automatically associated. column code takes values from a predefined list.
in that, long, list you have:
- european commission funded projects (code starting with eu)
- eit digital funded projects (code starting with ei)
- german funded projects (code starting with de)
- internal projects (code starting with &)
- off days (code starting with $)

the timesheet is flexible enough allowing hours and even minutes
allocation. start time and end time are pre-set to 9:00 and 17:45
respectively. the day total is computed taking into account the 45 min
lunch break. normally you shall leave as it is, but of course if you split
your day in various slots you have to verify the day total by yourself ...
;-)
please note that in the account hours you cannot normally exceed 8 hour per
day, for sure not 40 hours per week (20 for working students). differences
shall be discussed with your responsible boo member.

please remember to write a short, sharp description of the work performed
in the "description carried out in the month" text area. this is mandatory
for two main reasons:
- it is particularly useful to report activities done while compiling the
project progress reports, and
- describe if any the business trips made in the month (do not use column 9
for that, this is to describe any specific purchase made due to business
reasons)

travel expense (column 8) shall match the total exposed in the travel
request form (please refer to the email sent by andrea on the matter). the
expense is just the total of the travel (not needed the split per day!) and
can be put either at the start day or end day of the travel itself.
eventually specific travel descriptions can be put in the "description
carried out in the month" text area (*NOT column 9*). the rule here is that
days of travel must match the travel request form. the travel will then be
accounted to the selected project.

column 9 is the description NOT of column 8 (which is in the travel request
form or the description area!), but it describes any other expenses done
for the project different from those about business travelling.

bottom line, the timesheet is rather flexible, but of course i'm not here
to make your life uselessly complicated. so, if you wish, you can aggregate
single hours worked on a task in several days in a single day. for example
you have worked 1 hour per day on a certain task for a whole week, then you
can put 5 hours on a specific day of that week. as per the allocation point
1 above, what matters is the total per month.
