Dear Partners,
In order to cover the project extension period, let me remind the agile calendar has been also extended with additional timeframes.

For this extension period the agile dynamic will be EXACTLY the same as before: planning, execution and close periods will be marked; backlog and reviews will be shared with you, queries answered by email, phone calls or skype (ManuelEscriche) upon your request.
Let me remind you the planning period is used to identify items ahead and to schedule them.
Therefore, we start now Release 3.4 lasting 3 months, so please, if needed, proceed to declaring the features and to schedule them to Release.3.4
Likewise, we start now Sprint 3.4.1 lasting 1 month, so please, if needed, proceed to declare stories, work item and bugs, and to schedule them to Sprint.3.4.1
I understand many GEI may want to change its status from Active to On-hold, I'd appreciate receiving your input so as to update them on the backlog.
Please, check with your manager what activities are funded by the EC.

At least in WP6 we have identified the need to provide an additional document for the GEs package. This document might well be an special wiki page containing:
* Special installation, configuration and administration instructions (in addition to the information already provided by each GE in the package). Not everything can be automated from the recipes and there might be some customization options.
* Usage patterns. In our case, how to model entities and attributes, subscriptions, event processing rules, data storage, etc. This are "additional aspects" because we are using various GEs together.
So I propose to create one or more pages for that content. I guess that the content would be pretty much ad-hoc, but it could be interesting to have a base line for all the packages. This page would be then referred from the catalogue.

OK, from me. What about the other's opinions?
I suggest strongly to create templates WORD documents because would be easier for all to handle "just-fill-in-mode". It can be dead-simple but at least we are sort of homogeneous in layout / content then) - like we do for the other official documents. This would support that we should make a homogenous appearance to our readers. Can you distribute them?

Basically Ok, but as we do for all "internal deliverables", we shall have a fixed deadline for until when the publication process is completed successfully and results being public, proposal: one month after the M36 that is M37.
As with all other deliverables, the leaving partners cannot follow until long after M36, so all their contributions must be reviewed "enough" and rolled out if possible very early after they left - for fairness reasons as you can understand.
Which limit would be ok for you - meaning the deadline after M36 when all M36-eaving partners have their results really online/public. If improvements need to be made, the review/improvement cycle is only 1 iteration plus the following escalation management by Juanjo as project coordinator within a gioven time limit. We are currently writing this internal deliverable process into the DOW amendment 6 (Miguel and I are finalizing on word level). We can share this as an example - but I guess my point is rather clear.
Proposal: If needed, you must be supported by someone else for performing the reviews for M36 leaving partners then.
What would be your and the other WPL/WPA opinion?

- Can we prescribe this in a bullet list what is needed to prepare and in which formats each ? Who does it, if yes?
- Do they get own review processes or not? What would be a deadline schedule, if any?
Maybe we have decided such already?

Let me bother you with this issue.
As you know we have recently received EC Review Report #6 providing feedback of the last review meeting held in December.
According to the report there's need to take action to fulfil the recommendation requests:
Summary of the report:
On the positive side, our contributions have made possible that:
- Deliverable 2.1.6 has been accepted, and
- Milestone 17 achieved
- Status: fulfilled to a certain extent
On the negative side, some aspects don't meet expectations, you can find them at pages 16 and 29, summarised
- Not justified removal of owner and priority fields for epics and features on public items' descriptions
- Basing on just naming, the relevance of these features is difficult to impossible to judge
- It is not evident which features are elaborated and why - what prioritization
- It's not possible to distinguish the source of an item: FI-WARE versus UC project
- No visibility on prioritisation, errors on schedule, impeded items
- Missing how agile implements a mechanism to steer the achievement of an overarching goal
- Breakdown of the overarching requirements (such as provided by the use cases to GEs
The report gives a final recommendation for the last deliverable:
1. Open backlog, i.e. features / requirements not addressed, including details as to why / in what case they are important
2. Report on applying agile management in FI-WARE for others to learn: what was the intention; what were the benefits and which were the drawbacks; what would you have done differently
3. More details on the epics, features, user stories and work items, as their name are not self-explanatory
Initial proposal:
1. Explain in the report how roadmap, tracker and materializing work jointly. Additionally explain the agile dynamic. How teams decide on what items to address during the sprint planning period.
2. Organise a poll to collect input from GEI owners as an evaluation exercise. Include the output in the report - perhaps also an annex with all input received
3. Improve backlog dashboards by adding a link to the backlog items pointing to its public description. Explain the hierarchy mechanism is meant to allow the contribution to more general targets identified by epics, which unfold into features, and they into stories.
Well, I have no doubt you may have different perceptions, ideas or comments in order to help outlining the action points to fulfil the recommendation received. Please, share them.

Dear colleagues,
as most of you know in the M30 review the reviewers requested us to do installation of GEs in a "eat your own dog-food" style within the consortium. E.g. a company A will install and test the installation and admin guides of company B and gives direct feedback. This would help to raise the level of completeness of the installation and admin guides and the related software and would basically enable us to have something like the famous "lutz report" on our own.
With the latest review report the reviewers requested to persist the results of this information in the upcoming 10.5.3 deliverable (which is reporting on validation of the Testbed - therefore such kind of internal "validation" of installation guides would be part) - I copied the text below.
Please act accordingly and
a) Try to install a GE of another company following their installation guides and downloading their software
b) Please document your effort shortly on the page
a. https://forge.fi-ware.org/plugins/mediawiki/wiki/testbed/index.php/The_internal_Installation_and_usage_Test_Cockpit
b. It should incorporate
i. Your Company name/or contact
ii. The GE which you try to install and test
iii. The result of your test
iv. Information of the result of your test in the "style" of Lutz Schubert
(for the sake of simplicity I copied two of the examples Lutz gave us on the wiki page and a template to ease this up mor)
c) Please provide direct feedback to the Guide to the respective party, if you find errors
d) As a "tested" GE-owner you can as well comment on the wiki page above and introduce a paragraph
It should be in the interest of every GE to be internally tested by "somebody" other that yourself and have a proper representation of this test on the above page in the testbed-wiki, as the reviewers will clearly monitor this as part of the 10.5.3 deliverable.
? Therefore - even if you can't provide a test of another component, please try to proactively find somebody within the consortium of another company to test your GE and let him report on this page!

Obviously, hardly any of the documentation can claim completeness in the remaining time, but should at least cover all known grounds. To this end, extensive and directed installation and usage tests should be performed - not only through the Use Case projects, but also within the consortium. For example, partners not involved in the development of a specific Generic Enabler can verify it through installation and testing. Regarding the number crunching here again the opinion from the APPS chapter:
I think it's not right to count for APPS as it is currently done: ECE has left the project, they cannot improve and they are not part of the FI-WARE Apps any more, but there noncompliance to regulations that were defined after they left a year ago is counted. Numbers from ECE can be reported but not as part of Apps...at least not in the statistics at least. There is no good rationale to measure work of teams who have not worked according to the guidelines of today...
I think it's fair to reduce our counting by the Ericsson numbers - they are irrelevant (Not only with respect to the bottle of wine...).
Can we do this?

In my view, each chapter's backlog contains all items during the project lifetime.
In my view, each chapter has its own difficulties, the challenge is to overcome them.
In my view, the right approach to follow is explanation, not exclusion.

Thank you, I give up for now. (But nevertheless I stick to the main point in my argumentation that we have some partners listed who have never been able to comply to the currently applied backlog measurement standards since they were excluded from the project a long time ago and were not able to contribute to the backlog). My basic idea behind was only to maybe add a true/false button to exclude these cannot-ever-contribute partners....but if not possible it would be ok now....
What indeed is important for all of us, we can all observe that the whole consortium seems to have made a very good progress according to the backlog measurement standards, that's the best news for all of us since it directly applied to reviewers comments. Thank you for your effort on organizing this huge progress, Manuel.

Thank you, I give up for now. (But nevertheless I stick to the main point in my argumentation that we have some partners listed who have never been able to comply to the currently applied backlog measurement standards since they were excluded from the project a long time ago and were not able to contribute to the backlog). My basic idea behind was only to maybe add a true/false button to exclude these cannot-ever-contribute partners....but if not possible it would be ok now....
What indeed is important for all of us, we can all observe that the whole consortium seems to have made a very good progress according to the backlog measurement standards, that's the best news for all of us since it directly applied to reviewers comments. Thank you for your effort on organizing this huge progress, Manuel.

In my view, each chapter has its own difficulties, the challenge is to overcome them.

Regarding the number crunching here again the opinion from the APPS chapter:
I think it's not right to count for APPS as it is currently done: ECE has left the project, they cannot improve and they are not part of the FI-WARE Apps any more, but there noncompliance to regulations that were defined after they left a year ago is counted. Numbers from ECE can be reported but not as part of Apps...at least not in the statistics at least. There is no good rationale to measure work of teams who have not worked according to the guidelines of today...
I think it's fair to reduce our counting by the Ericsson numbers - they are irrelevant (Not only with respect to the bottle of wine...).
Can we do this?

The EC has requested that the extension of the FI-WARE project duration be up to month 41 (i.e., end of September) rather than month 40 (end of August) as previously foreseen when we discussed amendment 6 of the contract. Please find below the request from our PO.
This is because the Campus Party Europe, where prizes for the second round of FI-WARE Challenges will be given away, will take place at the beginning of September.
I guess this is not a major issue so we will implement the extension up to end of month 41 in amendment 6 unless reasonable objections are raised before this Thursday noon. Note that this indeed doesn't affect at all those partners who had planned to stop contributing by end of month 36 (i.e., end of April).

Dear all,
The EC has requested that the extension of the FI-WARE project duration be up to month 41 (i.e., end of September) rather than month 40 (end of August) as previously foreseen when we discussed amendment 6 of the contract. Please find below the request from our PO.
This is because the Campus Party Europe, where prizes for the second round of FI-WARE Challenges will be given away, will take place at the beginning of September.
I guess this is not a major issue so we will implement the extension up to end of month 41 in amendment 6 unless reasonable objections are raised before this Thursday noon. Note that this indeed doesn't affect at all those partners who had planned to stop contributing by end of month 36 (i.e., end of April).

Amendment 6 will change this, but currently FI-WARE will officially end at the end of this month.
In order to prevent termination at the end of this month, we need an amendment request letter in which you ask for an extension. The letter does not have to be perfect, and perhaps needs to be completed/corrected in a later stage, e.g. for the new partners. Alternatively, you ask for an extension only now, we process, and the other changes will come in amendment 7.
The issue is that we need to have a request for amendment - documented and in our systems -, asking for an extension, DURING the lifetime of a project. Without such letter, the project will be terminated on April 30.

(May)?
This may help with the delays in updating & reviewing 3.3 docs, etc.
