[ff-marketing] Marketing Info (IMPORTANT to the whole Marketing Team): Working with 3rd parties

Dear all,

As of recent discussions, I would like to remind you all on the following
procedures well known and established:

   1. *Involving 3rd parties to work for Marketing* (outsourced
   activities), *can only happen AFTER a signed work order* by Ulrich and
   myself.
   Andrea has also been following and supporting this process since fall
   2019, too.
   Remember: Involving 3rd parties to work for us even without a specific
   written contract is by law however seen as a contract.
   Contracting can only happen after a formal internal approval.
   Signatures on official contracts sent to a 3rd party can currently only be
   given by Ulrich and Stefano.
   2. Where we have *framework agreements* in place, no further quotes for
   outsourced activities need to be requested.
   Still, an internal work order needs to be signed.
   3. Where we *do not have framework agreements in place* but we need to
   work with a 3rd party (service provider), *3 quotes by 3 different
   providers have to be taken in*. When deciding for the final service
   provider, a short argumentation is required why the specific one has been
   selected.
   *This is for anti-corruption purposes.*
   4. If practical life shows that we are using certain service providers
   more frequently, a *framework agreement makes most sense to avoid quotes
   collection for each activity / product* to be provided by a third party
   (service provider).
   5. *Exception Handling:*
   Exceptions we (Ulrich, Stefano a/o myself) have run in the past for one
   reason or another do not give to anybody a self-deciding argumentation why
   not to follow our implemented standard processes.

I want to underline once more that I will not sign ex-post work orders
already given out to third parties before even having been informed and
no signed approval by Ulrich & myself is available (which in some
exceptional cases can also be an email approval).

If framework extension agreements or new framework contracts are required
from your point of view, you can always propose them a/o bring this topic
to our FRIDAYs' COMS & DISSEMINATION calls.
Please be aware that these contracts usually take some time until ready to
sign and ready to be implemented.
