We will definitely will have our meeting next Wednesday and it is an important one. We will try to remind you all the things we expect from you in R5.
As regards how to handle the meeting schedule, I see one opinion on one side and a different one on the other so unless the rest say something (apparently you have no preference), I will have decide what to do and will come back to you on the matter.

Why not say that we keep the slot reserved conditionally (as it is now already, with a recurring invitation) but you send the day before either a confirmation or a cancellation, so that there would be no doubt as to whether the meeting takes place or not?

I would be rather happy either way. I was trying to reduce the burden on the leaders but it seems that trying to lighten their load backfires so here we go, maybe you are right. I am willing to act as people feel more comfortable.

if i may, my suggestion is not to cancel the meetings, but always to have them keeping eventually them very short if there is not much to tell or discuss. this way people have less excuse about missing confirmations or so.

As you know, the intention is to make the meetings light and straight to the point. They will not take place all weeks. However, I see a relaxation in the adherence to the Wednesday meetings that starts to worry me.
The summary of things I wanted to tell you is:
* You have to save that 11am time slot on Wednesdays. Every Monday morning I'll send a message stating whether the meeting will happen or not to let you organize you time in advance.
* This meeting is not optional and you have specific resources for this in the DoW. I will keep an attendance log as I did in the past and I will add a negative note in the 2nd year report for those who fail to attend more than reasonable. Arriving late will be logged as well. This negative note will have a specific statement recommending the EC cost rejections. I am hoping that no one will need this but it is an option.
* Next Wednesday we will have our meeting and we will devote it to the launch of R5. I expect all the leaders of the technical chapters. The fiware lab, sustainability model, exploitation and dissemination leaders are exceptionally discharged of this meetings and can skip it.
