Dear all, please find enclosed the new baseline for proposal Chapter 3, Implementation, that I also hereby seremonially hand over to Martin for final integration with Ch 1-2. (At the very end there’s some left-over text that needs to be left out, so Martin don’t include that in the proposal; I just didn’t feel like totally dropping it yet in case some gets inspired by it.) Remco is working hard on WP3 and I understand the reasons why that part hasn’t yet made it in here — Remco please email your WP3 section to Martin as a total replacement of current WP3 text. Others please give your further inputs to Martin (hopefully as incremental changes with respect to this enclosed version 0.4.1 and NOT based on earlier sketches!) as far as needed. Quite a bit of time goes into formatting so please try to preserve & use the Word styles (which Martin may then still choose to fine-tune if necessary). I would advise for not worrying about PM tables in this text — that would probably best be handled by Martin when he considers the Excel sheets to be stable enough. kind regards, Mikko On 6 Apr 2016, at 19:51, Martin Brynskov <brynskov at cavi.au.dk<mailto:brynskov at cavi.au.dk>> wrote: Dear all, To clarify, since I had a few talks with some WP leads and reference zone coordinators: You don't have, currently, a specific ceiling/guidance on how much effort (PMs etc.) you can spend per partner. What I need is an indication of (1) which tasks you want to contribute to, but also (2) your best effort guesstimate for the effort per task in PMs. With the guidance I have/get from WP leads on how this matches the budget sketch, I then propose a complete distribution of efforts across tasks, hopefully tonight, but latest tomorrow morning. I offer a call at 10 am CEST where I'm available, with WP leads (best effort attendance), to iron out any uncertainties of eg. overlap in tasks and/or partners. We will treat basic reference zone ecosystem resources equally, and tweak according to special needs. The theme applications will be different, with the two first themes requiring more than the policy one. Thanks to all who have already submitted PM allocation. Keep them coming! And thanks to everyone for squeezing the content into place. And welcome to ENoLL who, as dissemination partner, heads the outreach parts. Expect requests for input for the local event and channel table. Over the afternoon, hectic coordination and proposal writing has evolved WP 3, 5 and 6 plus related sections much further. Pentti from Aalto is still down with a bad illness, but the colleagues from Aalto and elsewhere are heroically filling in in WP 6. Get well soon. If possible, before Monday morning. ;) We're getting there. You're a bit ahead of the pack. :) Changes after the call have not been reflected yet. Thank to those of you who have already provided a draft PM request in the ealier template. Note that I would need your PM cost, either as a flat rate or as an estimated average, as well as a check of your reimbursement rate (70/100%). Send PM request to Agnete Sig Petersen <agnetesig at cc.au.dk<mailto:agnetesig at cc.au.dk>>, cc me. In addition, you should summarize the nature of your effort, both in the template and in your partnership description. I attach the partner description template for your convenience. Drop it in the Google Drive: https://drive.google.com/drive/folders/0B5aZgI2Uwn7seDlsbWJCcFJ3R3M Deadline for providing this information is 20:00 today. I'll then integrate and discuss with WP leads, and you will have the updated WP descriptions for more detailed decision on effort distribution, before the call on Friday. You have received the updated WP descriptions, but Mikko is working on an integrated version. By tomorrow EOB.] After a long crunch, please find attached two documents which are our guides to the coming four days, before the final review on Friday: - Proposal master document v2.2, - List of section writing responsibilities (action points). Looking at these you will discover at least two things: - You have sections to finish before Wednesday! ;) - We already hit the 70 page limit (Sections 1-3), so be crisp. In addition, I attach the detailed budget template. Each partner should return, by EOB tomorrow, Tuesday, the following basic financial info: - 70% (for-profit) or 100% (non-profit) direct cost eligibility, - person month flat rate. Return this to Agnete Sig Petersen <agnetesig at cc.au.dk<mailto:agnetesig at cc.au.dk>> (cc). The template also includes the effort distribution matrix, but that shouldn't be filled until after you receive guidance. Tomorrow afternoon we will distribute the partner/person month effort matrix with guidance, still to be filled in before Wednesday's meeting for review, with final review Friday. Contribution to the proposal development (text) will be a factor when finalising the effort distribution. I suggest we make Wednesday's meeting two hours, so that we have time to review contributions section by section. The times are 10-12 CEST / 9-11 UK-Porto / 11-13 Finnish. Finally, I attach the Letter of Commitment for supporting cities and other supporting organisations, for those who need it. Thanks for putting in the last bit. We need all hands to contribute now.
